Rent guarantee companies: checking arrangements and costs

Check which guarantee arrangement a property accepts, then prepare documents and review costs and responsibilities. Understand how companies, personal guarantors and emergency contacts differ.

Start by clarifying whether you are applying for a property or checking the guarantee on an existing lease. Explain the property, management and current agreement before comparing company names. Finding a company does not establish eligibility to move in.

Check which company the property accepts

Management often specifies or limits the guarantee companies available for a property. Do not assume a company you find independently will be accepted. Ask whether a guarantee is required, which options exist and whether a personal guarantor is also needed. For a change during a lease, check the existing agreement and management’s requirements first.

Distinguish three roles and reimbursement duties

After paying covered arrears, a guarantee company seeks reimbursement from the tenant. Its fee is not prepayment of future rent. A personal joint and several guarantor bears contractual debt obligations; an emergency contact helps with communication and does not become a guarantor merely by being listed. Check what a document commits you to before signing.

Application and guarantee coverage are separate stages

Typically, you check the property’s conditions, apply through the specified channel, complete identity or document checks, then arrange the lease and guarantee after approval. Confirm the actual sequence and coverage start date with management. Submitting documents, receiving a verification call or making a payment alone should not be treated as proof of landlord approval.

Prepare evidence for your circumstances

You may be asked for a passport or residence card, employment or student evidence, and income or funding documents. Lists vary by property and arrangement. Explain overseas applications, a new job, or the absence of a Japanese phone or local contact, and ask about alternatives. Obtain your contact’s consent before supplying their details.

Include ongoing charges in your budget

Get written details of initial and annual or monthly fees, calculation bases, payment dates and cancellation treatment. A quoted percentage is not a universal rate. Ask which obligations beyond rent are covered. Enter each quoted charge in the calculator and clarify uncertain items with management.

Verify the operator using official information

Use MLIT’s registration page to check registered operator details against the contracting company’s name. Registration is voluntary; unregistered companies may operate. It is not a government guarantee of service or application approval. Compare the arrangements accepted for your property, liability and full costs.
